Program Cancellations

From time to time, we find it necessary to cancel programs for a variety of reasons. Most often it is due to low participation numbers. This is a good reminder to please not hesitate to register early if you see a program that you are interested in. Decisions on programs are usually made one week before they start. Less often we find it necessary to cancel programs due to instructor or venue unavailability. If you see a program is no longer available to register after a program guide has been released for that season check out the table below for more information. Never fear however, if we have to cancel a program we try to place it back in the next season for you!

Inclement Weather/ Instructor Illness Procedure

Sometimes a facility may become temporarily unavailable or an instructor has a conflict or becomes ill. Winter weather is also a factor, mostly during January through March. In all cases, we make every effort to make up the class at a later date.

Often, these program cancellations due to weather come late in the day. All efforts will be made to contact participants in case of cancellation. Please ensure we have the correct numbers to get in touch with you. Alternately, we will change our message on the Ramara Centre outgoing message and post the changes to our website or on our social media. Know – before you go!

NOTE – If your class is at a school property and the buses have been cancelled, your class is not necessarily cancelled. The school board makes determinations on community use later in the day and will choose to close school facilities independent of bus cancellations. Refund Requests- Seasonal Programs (see camp below)

Program withdrawal and refund requests must be made by completing the Refund Request Form. Your completed form must be brought to Ramara Centre, emailed to recreation@ramara.ca, or faxed at 705-325-2744. Refund request forms will be processed according to the criteria outlined below. Once approved, please allow four to six weeks for refund processing. Submission of a form does not guarantee that a refund will be issued, and non-attendance of a program does not constitute a notice of withdrawal.

TIMELINE	REFUND OFFER
Withdrawal prior to program start	Refunds/Credits will be issued up to seven days prior to the start of a program with an admin charge of $10.00
Withdrawal after program start	If a refund request is received up to the second day of the program you will receive a pro-rated refund, less at $10.00 admin charge
Medical Withdrawal	Medical refund requests must be accompanied by a doctor's note and the $10.00 admin fee will be waived
Cancellation of Program	If we cancel your program for any reason you are eligible for full refund without penalty
Removal from Program	If a participant is removed by an instructor due to incompatibility or incidence, you will receive a pro-rated credit for any classes remaining after the date of removal
Rare Exceptions	Are handled on a case by case basis
NO REFUNDS after the mid-point of a program	Refunds will be pro-rated based on the number of classes left in the recreation program at the time the request is received, regardless of the day the registrant stopping attending the recreation program

Refund Requests - Camp Programs

Camp Refund Policy (2021) With so many restrictions on the amount of campers and staff that we can accommodate this year we have had to make slight changes in our refund policy. These changes will allow us to run at our capacity and make sure that families that are waiting for open spots are able to access those in a timely manner. We staff camps at a rate that requires full capacity and that’s how we've been able to keep our camps at an affordable price for our community. Please help to continue that by adhering to our rules.

Camp Refunds 2022
SITUATION	ACTION
We cancel camp - for any reason.	Full Refund.
Your child is removed from camp mid-week due to incompatibility or illness.	Prorated for the days that are left in the week not including the day your child was removed.
Changes or transfers from camp to camp or children within the same family.	$10.00 admin charge.
Request received MORE than 14 days before camp week starts.	Refund minus $10.00 admin charge.
Request received LESS than 14 days before camp week starts	$50.00 cancellation fee per camp - unless you can provide a doctor’s note that excludes the child from camp
Request received less than 14 days before camp week starts and you have not paid for the balance of your summer	You will be asked to pay up front for the balance of your weeks left in summer to keep your spot.
